Mail Center Supervisor

Every employee brings inspiration and innovation to our business and we seek achievers, leaders and visionaries Mission: Responsible for the organization and operation of the European Headquarters Mail Center, including internal mail, shipping & receiving, reprographic services, warehousing and business stationery. The Mail Center supervisor must lead the team to focus on total customer satisfaction, whilst also managing key stakeholder expectation. Responsibilities: Operational management & quality control • Organising the MC team to deliver all services within the agreed Service Level Agreements. Includes staff scheduling and task assignment, utilizing the 7-strong MC team across all commitments, as demand requires; • Shipping & Receiving: support customers on and off campus to ship a diverse range of items between Nike sites globally, utilizing NIKE’s various shipping & courier agreements. Support the MC team to manage the physical & administrative workload, including completion of all shipping documentation and physical collection / delivery across campus. Internal Mail: ensure internal / external mail deliveries are processed (delivered or dispatched) within 24 hours of entering the system. • Warehousing: Execute NIKE’s storage policy to focus on the most appropriate use of storage facilities on and off campus. Includes auditing all storage areas and taking action to satisfy customers, drive compliance and /or minimize NIKE spend. Repro: connect with key repro stakeholders (large volume repro customers) to assess need and accurately forecast production capacity requirements. Support MC Team in task allocation and making appropriate resources available to deliver all jobs as required. Manage inventories to maximize flexibility and minimize unnecessary spend. • Business Stationery: working within preferred supplier agreements, maintain a stable supply of standard items in case of urgent need and act to acquire special items as required. Maintain a minimum customer satisfaction score of 7/10 across all services. • Monitor processes (input, throughput & output) to manage quality and make proposals to improve at all times, showing judgment and initiative to act effectively and efficiently. Monitor all Health & Safety aspects of MC operations (with emphasis on shipping & warehousing especially) and coordinate reporting and resolution of defects. Maintain 100% compliance to campus health & safety audits. Coaching & leading the MC team • Guide the development process for each MC team member, through on the job coaching and training and where necessary, direct detailed task instruction. Follow the Coaching for Excellence process strictly and support each NIKE team members’ Coaching for Excellence process, providing consistent, continuous feedback. • Focus on team building, customer focus and building commitment towards achieving Corporate Services’ strategic objectives. • As owner of several business processes critical to campus operations (including high-impact business events which rely on all MC services), act proactively and assertively to anticipate customer demand and plan accordingly, whether the impact is operational, financial or process – related. As a key member of the Corporate Services ‘Supervisor team’, collaborate to ensure a seamless customer experience. • Contribute to building business cases for future investments, enabling the MC team and/or customers to benefit from improved processes, facilities or products. • Act as ‘account manager’ for several key parts of the Nike business who rely on the MC services as a key part of their process, e.g. Sales Operations, Merchandising, Brand Management, etc. • Engage and network both in and outside NIKE to absorb new ideas and innovate wherever possible. Vendor management • Manage a range of diverse Nike vendors, from Global partners to local vendors, working within complex Service Level Agreements and constantly changing business demands. • Partnering with Nike Procurement and the Corporate Services Manager responsible, contribute to NIKE’s tactical supplier management process as required. • Seek to minimize Nike spend at all times through SMART sourcing and utilizing preferred supplier agreements. Financial control • Create and control all operational purchase orders and track each to completion, including making the appropriate reservations / accruals / goods receipts where necessary to ensure financial forecast accuracy within 2% of budget. • Manage inventories as tightly as possible to minimize Nike overheads and reduce wastage. • Analyze and report on monthly Finance overviews to give total transparency into the bottom line result; explaining contributing factors such as business demand, process complexity and exceptions / escalations. • Provide input to annual budgeting for both operational (Opex) and capital investment (Capex) NIKE spend.
